Administrative Assistant HR & Office Support (0.8 FTE)

At Aquavision, Stema Systems, and Accurasea, we develop innovative measurement solutions for water and environmental research. For our office, we are looking for an Administrative Assistant who ensures that daily office and HR processes run efficiently and colleagues are properly supported.
The Role
You support the team with administrative and organisational tasks and help maintain structure and overview within the organisation.
As an Administrative Assistant HR & Office Support, you will assist with daily office, HR, and administrative activities. You work closely with colleagues within operations, HR, and administration, ensuring that tasks are properly arranged and followed up.
Tasks and Responsibilities
Office & Secretariat
- Welcoming visitors and answering phone calls and emails;
- Supporting agendas, appointments, and meetings;
- Organising travel arrangements, lunches, and meetings;
- Processing correspondence and documents;
- Supporting office management and facility-related matters;
- Ordering and managing office supplies and inventory.
HR Support
- Supporting the onboarding of new employees;
- Maintaining personnel files and HR administration;
- Processing leave requests, absenteeism, and personnel changes;
- Supporting the planning of job interviews;
- Preparing documents and contracts.
IT / Workplace Support
- Preparing workstations for new colleagues;
- Requesting laptops, accounts, and access rights through external IT providers;
- Supporting practical office and IT-related matters;
- Ensuring employees are properly facilitated in their daily work.
Administrative Support
- Processing and checking administrative data;
- Supporting document management and archiving;
- Helping maintain overview in ongoing activities;
- Supporting colleagues where necessary.

Job Requirements
- MBO working and thinking level;
- Approximately 2 years of experience in an administrative or supporting role;
- Good command of Dutch and English;
- Experience with Microsoft Office (Outlook, Word, Excel);
- Experience with HR administration is a plus;
- Affinity with office management and support.
